This privacy policy applies to the websites, online shops and online tools published by MDsimulation Ltd., operating under the DentalMaster brand (“DentalMaster”, “we”, “us”) — whatever the tool, edition or version. It explains what personal data we collect, why, how long we keep it, and the rights you have over it. It applies together with our Communications, Privacy & Free Licence Policy, which governs marketing communications and the Free licence in detail.

1Who is responsible
MDsimulation Ltd. is the controller of the personal data described in this policy — with one important exception: for data relating to a clinic’s patients, the clinic is the controller and we act only as processor, as explained in section 7.
2Information we collect
2.1 Information you give us
You are free to explore our websites without providing any personal information. When you create an account, place an order, request a demonstration, try a tool online or contact us, we collect the information you submit: name, email address, clinic or company name, address, phone or WhatsApp number, country, language, and the content of your message.
2.2 Navigational information
When you use our websites we collect technical information about your visit: IP address, approximate geographical location, browser type, referral source, length of visit and pages viewed. We use it to operate, secure and improve the websites. Security and troubleshooting logs may be linked to your account where necessary to protect it — for example to investigate a suspicious sign-in.
2.3 Payment information
Payments are processed by third-party, PCI-compliant payment providers. We do not store your full card number. Our providers are not permitted to store, retain or use your payment information except for the sole purpose of processing the specific transaction you authorised. Apart from payment data handled this way, we do not collect sensitive information from you.
3How we use your information
We use the information we collect only in compliance with this policy, to:
- create and operate your account, deliver the tools and services you purchased, and provide support;
- process your orders and payments, invoice you, and keep the records required by accounting law;
- send you service messages (password resets, security notices, licence expiry) — these are necessary to operate your account and cannot be opted out of while your account is active;
- send you marketing communications if you have consented to them — how consent works and how to withdraw it is described in the Communications, Privacy & Free Licence Policy;
- improve our websites and tools, using statistics that do not identify individual users;
- protect our services, prevent fraud and comply with legal obligations.
We never sell your personal information. We do not rent our contact lists. We do not share your information with third parties for their own independent marketing unless you have separately agreed to it.
4Who we share it with
- Processors: a limited number of service providers — hosting, email delivery, SMS delivery, video hosting, payment processing — bound by contract to process data only on our instructions.
- Local partners: where you ask for local service or support, we may share the information needed with a trusted DentalMaster partner under strict confidentiality rules.
- Legal: we may disclose personal information if required by law, or where we reasonably believe disclosure is necessary to protect our rights, your safety or the safety of others, investigate fraud, or comply with a court order or legal process.
- Corporate events: if MDsimulation Ltd. is acquired or merged, the successor would receive the data we hold. You would be notified by email and/or a prominent notice on our websites of any change in ownership.
International transfers
Our operations are global. Personal data may be transferred to and accessed from countries other than your own. Wherever your data is processed, this policy applies, and we put in place the safeguards required by the law applicable to you.
5Testimonials, links and public areas
- Testimonials: we post customer testimonials on our websites only with the customer’s prior consent to the use of their name and words.
- Social media features: share buttons and embedded widgets may collect your IP address and set their own cookies. They are governed by the policies of the companies providing them, not by this policy. On our tools, such third-party content is blocked until you accept it in the cookie banner.
- External websites: links to other websites are not an endorsement. Those websites have their own privacy policies.
- Public areas: anything you post in a public blog comment or forum can be read and used by others — post with care.
6Cookies
Our own cookies are used primarily to operate and secure the service: authentication, language choice, security (anti-forgery) and the record of your cookie choice. These are strictly necessary or functional cookies. We do not use our own advertising cookies to track you across unrelated websites, and we do not sell cookie data. Embedded third-party content (video players, chat bubbles, review widgets) is not loaded until you accept it in the banner. If we ever add analytics or advertising cookies, we will ask for your consent first.
The full cookie table — each cookie, why it exists and how long it lasts — is published in the Communications, Privacy & Free Licence Policy, section 8. Every browser also lets you view, block or delete cookies; blocking essential cookies will prevent parts of the service from working.
7Patient data
The clinic is the controller — we are the processor
Our tools are built to hold as little patient information as possible and do not require the clinic to enter the patient’s name. For everything relating to a clinic’s patients, the clinic is the data controller: it decides what is recorded, what content is sent, to whom, and on what basis, and it is responsible for informing its patients and obtaining any consent required by the law applicable to its practice. We process that data only on the clinic’s instructions.
Patient pages set no tracking cookie. Access to a patient’s content works through a temporary token contained in the link the clinic sends — never through a name or phone number placed in a URL.
8How long we keep your information
- Account data: for as long as the account is active, then for the period required by applicable accounting and limitation rules.
- Marketing consent records: for the duration of the consent plus three years after its withdrawal, as proof that it was validly obtained.
- Technical and security logs: for the period necessary for security, evidence and dispute-resolution purposes.
You may ask us to delete your information at any time, as described below.
9Your rights
Depending on where you are established, you have the right to:
- ask whether we hold personal information about you, and review it;
- correct errors, outdated information or omissions;
- have your information deleted from our records;
- receive a copy of your data in a portable format;
- object to, or restrict, a given processing;
- opt out of being contacted or removed from any solicitation list we use;
- lodge a complaint with your national supervisory authority.
To exercise any of these rights, write to privacy@identalmaster.com. We reply within thirty days and will tell you what action we have taken. We may ask you to confirm your identity first.
Unsubscribing from marketing
Use the unsubscribe link at the bottom of any marketing email, or reply STOP to any SMS. Note: you cannot opt out of transactional service messages related to your account or subscription while your account is active.
10Security
We use a variety of security technologies and procedures to help protect your personal information from unauthorised access, use or disclosure — including hashed password storage, encrypted connections and access controls. No system is perfectly secure; if you have questions about the security of your data, contact privacy@identalmaster.com.
11Changes to this policy
We may update this policy from time to time. The version in force is the one published on this page, with its effective date at the top. Material changes affecting your rights will be notified by email to the address registered on your account.
